Objective:
To set a standard for attendance and provide for the reporting of absences or tardiness of university staff.
Who is Affected:
All regular exempt and non-exempt staff.
Procedures:
1. Expectations
Employees are expected to be at work on time and work a full schedule each day. While on the job, employees should be working, using their time and the resources of their position for the purpose of doing their jobs. If an employee is unable to report to work by the designated time, his/her supervisor must be personally contacted prior to the start of the scheduled work day. Departments are responsible for establishing a process for calling in sick and assuring that all employees are informed of the process. No one should call on behalf of a staff member unless the staff member is medically unable to make the call. Failure to contact the supervisor or his/her designee may result in disciplinary action and/or denial of paid leave. Supervisors may require a doctor’s statement to prove that an absence was due to illness.
2. Types of Absences
Scheduled – Time away from work that was scheduled and approved in advance by the staff member’s supervisor. This includes paid time off, court leave, military leave, death in the family, and sick leave for scheduled appointments.
Unscheduled – Time away from work that is not scheduled in advance or approved by the staff member’s supervisor. This includes unscheduled sick time, and/or leaving before the end of scheduled work hours.
Lateness – Not being in the workplace and ready to work by the start of the staff member’s regularly scheduled work day. Excessive or chronic lateness or unscheduled leave may result in disciplinary action under HR0525.
3. Requests for Time Off
Requests for time off should be made in advance to the supervisor. Employees wishing to take time off should submit their written requests to their immediate supervisor for approval as far in advance as that supervisor requires.
4. Reporting Absences
All scheduled or unscheduled absences, lateness or time that staff members leave early must be recorded on employees’ timesheets. Supervisors are reminded that these reports must be truthful and accurate as they are State records and are needed in the event disciplinary action is warranted. Failure to accurately report the attendance of staff members constitutes the falsification of official State records and as such may result in the termination of employment.
