New Employee Welcome

Welcome to the University of Tennessee!  We are excited you have chosen to join the VOL Family for the next steps in your career. To ensure your start with us is seamless, we would like to provide the following information and steps to aide in your onboarding. Our hope is that checking these boxes before your first day will allow you an uninterrupted start and give us the opportunity to meet you even sooner.

You got the job, so what’s next?

If you are working in a remote position and reside outside of the greater Knoxville area, please contact UT Knoxville Human Resources for available locations to complete the I-9 paperwork.

Please complete the following required documents and return to Human Resources using the instructions below:

  • W4 – Please include your social security number in the box at the top right-hand side of the form.
  • Personal Data Form – Follow the link and select “Personal Data Form” from the alphabetical list.
  • Release of Final Paycheck
  • I-9 Completion:
    • Please complete page one of your I-9 on or before your first day of work through the Equifax website. Please select UT Knoxville as the location you will be working at even if your work location is not in Knoxville. We recommend that you keep a copy of the confirmation of completing page one of your I-9 through this website.
    • Please schedule your I-9 appointment on the New Employee Welcome webpage (the Appointment Calendar is located at the bottom of the page).
      1. Please note that for the I-9, you will need to bring appropriate documents for proof of identity and eligibility to work in the United States to this in person appointment.
      2. For more information about appropriate documents, see the I-9 form and instructions here: https://www.uscis.gov/i-9.
        Failure to present required I-9 documents on or before your first day of employment will delay your ability to begin work.  

For the security of your personal information, please only submit the completed required documents to Human Resources via one of the following methods:

      1. EMAIL: as a REPLY to this email ONLY.  Please do not send in a separate message, as it will not be sent encrypted or secured.
      2. IN PERSON: Bring your completed documents with you to your I-9 appointment, where an HR Associate will assist you.

One week before your first day of work

Locate your netid, and set up your password and Two-Factor Authentication. Once you have completed that process, utilize your netid and Two-Factor Authentication information to complete your direct deposit information online at https://directdeposit.tennessee.edu. You will be required to upload a picture or pdf of a cancelled check or letter from your financial institution verifying your account information.

Return completed forms via email from your UT email account to utinsurance@tennessee.edu. (Do not use personal email accounts)
Type ENCRYPT in the subject line to secure the email.

VolCard
The VolCard is your official University of Tennessee identification. The VolCard Office is located at 408 Student Services Building, 1331 Circle Park Drive. They may be reached at 865-974-3430.

How to obtain your VolCard:

Your VolCard is your university ID to be used for identification purposes or access to goods and services to which you are entitled. Your VolCard is available on either an Android phone or combined iPhone and Apple Watch device. You will be able to activate your VolCard credentials on your mobile device on or after your first day of employment.  Visit the VolCard website for instructions on how to activate your credentials on your selected device.

Parking Permit
A parking permit is required to park in all university owned lots and garages. To secure a parking permit visit the Parking Services office on your first day of employment. You will need vehicle information including year, make, model, and tag number. Parking Services office is located at 2121 Stephenson Drive.

This session will provide information about the university, various programs, benefits that are available to you as an employee and how you can engage with the campus community.  Organizational Introduction sessions are held via Zoom each month.
