New Employee Welcome

Welcome to the University of Tennessee!  We are excited you have chosen to join the VOL Family for the next steps in your career. To ensure your start with us is seamless, we would like to provide the following information and steps to aide in your onboarding. Our hope is that checking these boxes before your first day will allow you an uninterrupted start, and give us the opportunity to meet you even sooner.

Next Steps

Please complete the following required documents:

  • W4
  • Direct Deposit (voided check or document from financial institution is also required)
  • Personal Data Form (follow the link and select “Personal Data Form” from the list
  • Release of Final Paycheck
  • I-9 Form (page 1)
    • Your I-9 will need to be completed on or before your first day of employment. You will need to provide appropriate documents for proof of identity and eligibility to work in the United States. For more information about appropriate documents, see the I-9 form and instructions here:
    • To complete and return the I-9 schedule an appointment with a Recruitment staff member using the calendar feature located at the bottom of this webpage.

Failure to present required I-9 documents on or before your first day of employment will delay your ability to begin work.  

Return the required documents to Human Resources on or before your first day of employment via one of the following methods:

    1. EMAIL: send completed documents to and type ENCRYPT in the subject line to secure the attached information.
    2. IN PERSON: Bring your completed documents with you to your I-9 appointment, where an HR Associate will assist you.

      • Exempt employees on the second and fourth Wednesdays of each month from 11:00 am – 12:00 Noon (Click here to join with meeting ID: 969 2012 1922 and password: 082946)

The VolCard is your official University of Tennessee identification. The VolCard Office is located at 408 Student Services Building, 1331 Circle Park Drive. They may be reached at 865-974-3430.

How to obtain your VolCard:

Your VolCard is your university ID to be used for identification purposes or access to goods and services to which you are entitled. Your VolCard is available on either an Android phone or combined iPhone and Apple Watch device. You will be able to activate your VolCard credentials on your mobile device on or after your first day of employment.  Visit the VolCard website for instructions on how to activate your credentials on your selected device.

Parking Permit
A parking permit is required to park in all university owned lots and garages. To secure a parking permit visit the Parking Services office on your first day of employment. You will need vehicle information including year, make, model, and tag number. Parking Services office is located at 2121 Stephenson Drive.

Virtual Tours

You will receive an invitation to attend an Organizational Introduction. This session will provide information about the university, various programs, benefits that are available to you as an employee and how you can engage with the campus community.  Organizational Introduction sessions are held via Zoom each month.
